AI & Workflow Review for small healthcare practices.
An experimental $250 written assessment for owners and managers of small therapy and psychiatry practices. Map one administrative workflow before deciding what to automate.
Bring one repeated task.
Choose a workflow you can describe without opening private records: how a website inquiry reaches its owner, how staff assign an office task or how a draft gets checked before sending.
We discuss the current route, the tools around it, the person responsible and what happens when something fails. One 60-minute working session keeps the problem small enough to understand.
Leave with something you can use.
- A written workflow map showing the trigger, owner, next step and fallback.
- Three ranked opportunities, with tradeoffs and approximate costs where feasible.
- One recommended starting point. The recommendation may be to configure existing software, train the team or leave a working process alone.
- If a build makes sense, a separately scoped proposal with timeline, price and acceptance checks.
What the assessment does not include.
The $250 assessment is a written planning deliverable. It does not include implementation, a new website, a broad integration or ongoing support. No system access is needed for the starting session.
The experimental delivery target is five business days after the session and complete business-only inputs, subject to agreed capacity. We confirm timing in writing. There is no promise of a particular saving, booking rate or revenue result.
A fictional example.
Suppose an inquiry arrives in a shared inbox and two staff members assume the other person will answer. A useful first recommendation might be to name one owner and agree on an escalation route before adding AI.
Fictional demo business, demo data. An illustrative recommendation, not a client outcome.

Send a business inquiry. Nick confirms the time and Google Meet details separately. Use the form to describe the office task you want to discuss. We decide whether this assessment is useful for your problem. A discovery call is not a free written assessment or build.
Common questions.
What happens after the free discovery conversation?
The discovery checks fit. The optional $250 written assessment is a separate engagement; accepting it does not commit you to a pilot or custom build.
Do I need to give access to our systems?
No system access is needed for the starting assessment. Describe one workflow using business-only information. Do not send private records, passwords or payment details.
One workflow.
One free conversation.
Tell Nick which office task you want help with. Use the business inquiry form, email or text. Nick confirms a time separately for a free 30-minute Google Meet.
Nick at ASAP Ops reads business inquiries sent to the email address above.
Discovery hours: 3–6 PM Eastern daily. Remote over Google Meet, with on-site visits by arrangement. Please leave out patient information, records, passwords and payment details.
Starting offers use business-only information. Any work that would touch patient information needs a vendor BAA and counsel review before it starts. Scope, price, timing and acceptance are agreed before paid work.
