Workflow automation for therapy and psychiatry practices.
Connect the business steps between a website inquiry, the person who owns it and the next action. Check the software you already use before adding another tool.
Map it before connecting it.
Start by naming the event that begins the work, the person who owns it and the condition that means it is complete. A fast draft is not a completed handoff if nobody checks it or knows what to do next.
We review your existing tools first. A setting, shared task or short staff guide may solve the issue without another subscription or custom app.
Examples worth exploring.
- Route a business inquiry to an agreed owner instead of leaving it in an unassigned inbox.
- Draft an answer from approved public office information for a person to check.
- Create an internal task when an agreed business event happens, with a visible status.
- Record a failed step and tell the owner how to complete the work manually.
A bounded pilot, after the assessment.
The experimental $750 pilot covers one agreed workflow on one existing platform, up to eight total owner hours, one revision round, written instructions and a team handoff. Access, vendor capabilities and direct costs must be checked before promising a connection.
A full website, broad integration or open-ended AI receptionist does not fit this pilot. Larger automations, internal apps and dashboards get a separate written scope, timeline and price.
Agree on checks your team can see.
Test an ordinary inquiry, an incomplete one, a duplicate and a failed step using invented business data. Agree who receives the exception and how to stop the automation. The workflow owner runs the agreed checks before accepting the work.
This page describes potential services. The fictional examples do not send real messages, connect your systems or establish a live deployment.
Common questions.
Does the $750 pilot cover a custom app or a full website?
No. The experimental pilot is bounded to one platform or workflow, eight total owner hours, one revision, instructions and handoff. Larger apps, websites and integrations need a separate written scope, timeline and price.
Can we use software we already pay for?
That is the first thing to check. Actual plan features, authorized access and acceptance checks must be verified before a connection or configuration is promised.

Tell Nick which office task you want help with. Use the business inquiry form, email or text. Nick confirms a time separately for a free 30-minute Google Meet.
Nick at ASAP Ops reads business inquiries sent to the email address above.
Discovery hours: 3–6 PM Eastern daily. Remote over Google Meet, with on-site visits by arrangement. Please leave out patient information, records, passwords and payment details.
Starting offers use business-only information. Any work that would touch patient information needs a vendor BAA and counsel review before it starts. Scope, price, timing and acceptance are agreed before paid work.
